ESP Worker-Transferring a SNAP/TANF Case with a SNAPET or VIEW Enrollment to a Different Agency

Currently, VaCMS allows ESP workers to reassign a SNAPET or  VIEW enrollment to a different agency. In VaCMS, the TANF or SNAP case must be completely transferred by the eligibility worker using the Case / Application Reassignment page before the ESP enrollment is transferred to correctly transfer the SNAPET or TANF VIEW referral. Upon transfer of the TANF or SNAP case, the ESP worker transfers the ESP enrollment.

 

ESP Worker- Transferring a SNAP/TANF Case with SNAPET or VIEW Enrollments to a Different Agency

 

Follow the process below to reassign a SNAPET or TANF VIEW enrollment to a different agency:

  1. Contact the TANF or SNAP case worker and notify them of the need to transfer the case.
    1. Please refer to the Eligibility Worker- Transferring a SNAP/TANF Case with a SNAPET or VIEW Enrollment to a Different Agency QRG for more information about transferring cases in Data Collection.
  2. The eligibility worker takes action to transfer the SNAP or TANF case in Data Collection.

 

Note: The SNAP or TANF case must be completely transferred using the Case / Application Reassignment page before transferring the ESP enrollment. The eligibility worker must complete this action before an ESP worker can reassign the case. Confirmation of case transfers can be conducted by reviewing the worker ID and case FIPS on the Case Inquiry page and both should display for the new locality.

 

  1. From the left navigation click ESP, then ESP Enrollment, then Enroll/Update.
  2. Enter the case number in the Case Number field on the ESP Enrollment / Update page.
  3. Click Search.
  4. Click the edit icon (pencil) next to the record.

 

 

  1. The Status Update page displays. From Left Navigation click Reassign ESP Worker.
  2. The Reassign ESP Worker page displays.

 

 

  1. Remove the worker ID from the worker ID field.
  2. The case can be reassigned to self, default worker, or another worker.
    1. If assigning case to self, click the Self checkbox. Click Reassign/Transfer. Proceed to step #11.

 

 

    1. If assigning the case to a default worker, select Yes from the Transfer the referral to the default agency worker for the transferred locality? dropdown menu.

Note: No message will appear indicating that the Reassign/Transfer is successful.

    1. If assigning the case to a specific worker, click the magnifying glass and search for the worker.

      1. Enter the necessary employee information to search for the Worker User ID.

      2. Select appropriate Worker User ID.

      3. Click Submit.

 

 

      1. The Assign Worker field is updated with the Worker User ID.  Proceed to step #11.

 

 

  1. Click Reassign / Transfer.
  2. Once reassigned, the Reassign/Transfer page will display a green information message Case Reassignment/Transfer is successful and the new worker ID will appear in the assign worker information.

 

 

THIS PROCESS CANNOT BE COMPLETED UNTIL AN ELIGIBILITY WORKER HAS COMPLETED REASSIGNING A CASE IN DATA COLLECTION.
